Constant Contact Mail Merge

Once you have completed the initial integration between GiftWorks and Constant Contact, we recommend you use GiftWorks to manage your Constant Contact lists. If you want to use Constant Contact to manage your lists, you should always manage your lists by updating the necessary contacts. Do not use the list management options in Constant Contact such as Remove or Move/Copy.

This is necessary due to a deficiency with Constant Contact. Once you have configured GiftWorks and Constant Contact to work together, the option to update GiftWorks and Constant Contact only processes any donors that have been updated in GiftWorks and any contacts that have been updated in Constant Contact since the last time the synchronize option was run. Unfortunately, Constant Contact does not set the last updated date of a contact when the contact is changed by using the list management options in Constant Contact. This means the next time the option to synchronize GiftWorks and Constant Contact is run, any contacts that were updated using list management options will not be processed and therefore, not updated in GiftWorks.

For example, if you want to change the lists for a contact, Constant Contact provides several different ways to accomplish this. Generally, you want to update lists by viewing a contact and updating the lists.

Method 1

Merge

Constant Contact allows you to view one of the contacts, click on Lists and update the lists for the contact by checking and unchecking lists. See the screen image below.

This is the primary method you should use to change a contact's lists. This will update a contact's last updated date. Therefore, the contact will be processed the next time you run the option to synchronize GiftWorks and Constant Contact and the list changes for the contact will be updated to GiftWorks.

Method 2

Constant Contact allows you to view one of the lists, check one or more contacts and use the Remove button or the Move/Copy radio buttons to change the lists that the contacts are in. See the screen image below.

Do not use the options that are circled in red to change the lists for a contact or multiple contacts. These are the options that will not update a contact's last updated date. Therefore, the contact will not be processed the next time you run the option to synchronize GiftWorks and Constant Contact and the list changes for the contact will not be updated to GiftWorks. You can use the Do Not Mail button to remove contacts from all lists and set their status to Do Not Mail.

Method 3

Constant Contact allows you to view all the lists and use the Merge or Clear Contacts buttons to change the contacts in one or more lists. See the screen image below.

Do not use the options that are circled in red to change the lists. These are the options that will not update a contact's last updated date. Therefore, the contacts affected by the list action will not be processed the next time you run the option to synchronize GiftWorks and Constant Contact and the list changes for the contacts will not be updated to GiftWorks. You can use the Delete button to delete lists.

Do not use the option that is circled in red to remove contacts from lists. This option will not update a contact's last updated date. Therefore, the contacts removed from the list will not be processed the next time you run the option to synchronize GiftWorks and Constant Contact and the list changes for the contacts will not be updated to GiftWorks.
