Tableau Viewer Online

Tableau Online let you view and share dashboards from the office, at home or on the road. Native mobile apps, from the Web or a tablet. Only authorized users can interact with data and dashboards. Use single sign-on to make security easy for trusted users. Sign in to a site on Tableau Online or Tableau Server. Either open the project that contains the data source you want to use, or show All Data Sources. Click the next to the data source name to open the actions menu, then click New Workbook. A new, blank workbook opens in the Tableau. Tableau software is a powerful business intelligence, visualization, and analytics tool. The tool allows users to analyze, filter, sort, and display data to meet business needs. These instructions are for viewing and interacting with a Tableau dashboard.

By default, all site users can see aliases, project ownership and comments by other users when permissions allow. The User Visibility setting lets administrators manage if users with Viewer and Explorer site roles see other users and groups on the site, which can be important for sites that are used by multiple clients. Limit user visibility

Setting User Visibility to Limited impacts certain collaboration tools and hides user information in Tableau Online and Tableau Server. Limited User Visibility either disables the feature for Viewers and Explorers (excluding Site Administrator Explorers), or removes user information from other areas. Can constant contact do mail merge. Note that Creators and administrators will still see user information when User Visibility is set to Limited.

To limit user visibility for Explorers and Viewers (excluding Site Administrator Explorers):

• Navigate to the site's Settings page
• Select Limited in the User Visibility setting

The following is a list of site areas impacted when User Visibility is set to Limited. Unless noted that the feature is disabled for all users, only non-administrator Explorers or Viewers are impacted.

When User Visibility is set to Limited, Tableau Server REST API and Metdata API calls behave as described in the table above.

Users on a site can interact with views and modify them, such as applying filters. If that user shares their modified view with others, or if the user creates something from that modified view (like a metric or a private custom view), then that user's name appears in the URL. Make sure that the URL for this modified view is only distributed to users who are permitted to see that person's name.

Note: If a user is a member of multiple sites, entering an email on the sign in page for Tableau Online will return the names of all sites the user is a member of.

Best practices for limiting user visibility

Administrators can also check that user and group information is not visible in these ways:

• Configure permissions to only provide content to appropriate parties. For more information, see Permissions.
  • Limited User Visibility hides user identification information from search, but might return content that the user published, including when searching by owner name, if the person searching has viewing permission to that content.
  • A user publishing a workbook with a duplicate title in the same project might see a warning that a workbook with that title already exists.
• Apply row-level security when necessary.
• Check that metadata within dashboards does not contain user information.
• Check that calculations accessible to users don't contain user metadata (e.g., user filters).

Restore Full User Visibility

When administrators set User Visibility back to Full, features disabled for all users by Limited User Visibility (such as comments and alerts) remain off. Administrators can re-enable these features through the site's Settings page.

Any previous feature settings are not retained when User Visibility is set to Full, and affected features are not automatically turned on.

Now more than ever, people need access to data to do their jobs better, but their relationship to data can differ. Tableau's role-based licenses allow you to deploy data broadly across your organization to users of all skill levels. These roles will allow you to share data with your teams in a governed and trusted way, while allowing for the differences in the way people interact with data. Each role-based offering has inherent governance built-in, based on the set of capabilities that are allowed in the license type.

License types are hierarchical. Creators can access the full functionality of Tableau Prep Builder, Tableau Desktop, and Tableau Server/Onliner to create content. Explorers have access to a subset of Creator capabilities via Tableau Server/Online only, to author new content based on existing published data sources and workbooks. Viewers receive a limited set of capabilities based on the needs of someone who views and interacts only in Tableau Server/Online.

Tableau Creator

The Creator license is designed for users who create content. This can include the design, cleaning, and curation of data sources, which others will use to analyze governed data, or the creation of visualizations and dashboards with which other users will interact. It also includes designing governance and permissions models that control which information users may find.

You might be a Creator if…

Tableau Explorer

The Explorer option provides governed authoring and data exploration capabilities for users who do not need the full data transformation capabilities of Tableau Prep Builder, or the ability to publish or connect to raw data sources. Explorers may access and analyze published data, create and distribute their own dashboards, and manage content that they have built or have been given the permission to edit.

You might be an Explorer if…

• You are a Line of Business data user who likes to get hands-on with data.
• You need to create your own visualizations using data sources curated by others.
• You want to take visualizations and dashboards built by others and edit or customize them.
• You will administer content on a Tableau Server or Online site.

Tableau Viewer License Features

Tableau Viewer

Tableau Viewers can view and interact with published visualizations and dashboards. These users can be given permission to access published content and interact with guided drill paths and filters. They can also subscribe to dashboards to get periodic updates and receive>You need>You want to interact with visuals others have built, but not build your own.

Depending on the level of interest within different business groups in your organization, your allocation of Creator, Explorer, and Viewer license types will vary. However, a typical Tableau deployment will need to assure that users with certain responsibilities receive the appropriate license type and corresponding education.
